So I've arranged a visit for the exams, so that 9 of my students can take their exams together at my home on my nice piano, that they have all had a chance to try out.

Today the exam date comes through, and no fewer than 4 of them will be away on various school trips that day. My timetable is falling apart, I have the hassle of trying to get the Board to move them to the main centre, and they will need lessons weeks after I had planned to finish teaching for the term.

Blast!

Fume!

Given that it's a six week period of possible exam dates, not much I or they could have done, really, other than not enter for exams at all this time. I shall try to avoid this scenario next year by not doing exams in the Summer Term. Never had a problem before, and it's just really annoying that it has all fallen apart this time.

Contact the AB straight away, explain the situation and see whether they can move your visit to another day. I've always found them very helpful, and they really do understand teachers' problems with arranging exam dates! If you act quickly there may still be time to sort out another date for your visit. Incidentally, even for a Standard Visit there is much more flexibility over choosing dates at the point of entry than you might think. After having chosen my 'preferred week' on the online form, submitted my entry and received the acknowledgement email, I reply immediately to that email stating which days in that particular week I'd prefer, and I also give a second choice of week in case my first choice proves too awkward to accommodate. The standard reply comes back that they will do their best but can't guarantee anything, but so far they have always managed to give me my first choice of week AND day, which is fantastic!

When I post my entry form I always send a short covering letter saying "please would you kindly avoid ....." and then list the dates (normally there are just one or two) which are impossible. I've never had a problem. (IMG:style_emoticons/default/smile.gif)

I shall certainly be a bit more careful in future when booking exams in the summer term - there seem to be so many trips and other things going on. It's all very well asking them to prioritise an exam, but many of their trips are special 'one-off' events eg going to see the Olympic village, so it does seem rather mean not to offer an alternative if there is one available. I'm not going to change the date of the visit, as it would probably cause as many problems as it solves, and would invoive other teachers, their pupils and accompanists!
